General Application Process

& Terms and Conditions  

Please review the terms and conditions before completing the entry form along with the specific details on the Call Out Form (which vary for each group show).

ARTROOM gallery studio workshops (ARTROOM) reserves the right to reject entries which do not comply without refund of entry fee.

Eligibility 

•       Artworks must have been produced within the last two years, unless pre-approved by special arrangement. 

•       Entry warrants that the artwork is original and does not infringe copyright, moral rights or other rights of any third party and is the unencumbered property of the entrant.

•       Artwork/s are created within the Call Out Form specifications (which vary for each exhibition).

•       Artwork/s can be rejected for hanging if they are seen to be offensive, violates content moderation guidelines or community standards (including hate speech, harassment).

•       Artworks need to be safe to hang. 

Entry

•       Unless specified, all artworks entered undergo a process of pre-selection. Successful entries are subsequently notified that they will be finalists and their successful entry presented in an ARTROOM Exhibition.

•       Forms, images and payments received after entry deadlines will generally not be accepted. 

•       A non-refundable fee needs to be paid when submitting the entry form. Payment of fee does not automatically secure a space in the group show as eligibility requirements need to be fulfilled.

•       The Entry fee will cover a set number of works (as per the Call Out Form specifications).

•       ARTROOM staff (including volunteers) may enter and sell artwork and be eligible for prizes and awards.

Artwork Specifications

·      Artwork size requirements vary according to the specifications of the exhibition. Please refer to the specific Exhibition Call Out Form for information.

  • Ready to Hang: All 2D artwork must be securely framed or have finished, painted edges. Unframed canvas must have finished sides.

  • Hanging Hardware: All wall-mounted art must be equipped with professional D-rings. Sawtooth hangers and wet paintings are strictly prohibited.

  • Sculpture/3D Work: Artists must provide their own secure pedestals or specific display requirements and should be prepared to assist with heavy or complex installations.

  • Identification & Labels: Each artwork must be clearly labeled on the back/bottom with the following details: Artist Name, Title, Medium, Year, and Price.

Sales & Commission

  • Prices must be finalised at the time of entry. Prices cannot be altered once the exhibition begins.

  • Commission: ARTROOM will deduct a commission on art sales. The % of commission varies between exhibitions. Refer to the specific exhibition Call Out Form for details of the commission amount.

  • The remaining amount will be paid to the artist via within 14 days after the exhibition concludes.

  • Sales Protocol: All sales must be processed through the organising entity.

 Artwork Delivery 

•       ARTROOM reserves the right to withdraw any artwork on delivery, without refund of entry fee if the work could be considered:

1.         a health hazard or physical risk to ARTROOM staff or the public;

2.         to pose any danger to the physical and environmental conditions of the venue;

3.         not ready for display, for example if a work is wet, incomplete, structurally unstable, or damaged in any way;

4.         unreasonable to install in the building and/or with the equipment available for reasons that include but are not limited to weight, size, fragility, movability or materials.

5.         Does not fulfill the Entry requirements (both on this form and the detailed exhibition Call Out form)

•       Artworks which are not received on the set delivery date will not be eligible for inclusion in the finalist exhibition and entry fees will be forfeited.  

Exhibition & Insurance

•       2D artworks must be delivered with a suitable hanging system such as D-Rings attached for display.  

•       Entrants of time-based media artworks may be requested to provide their own equipment for exhibition.  

•       ARTROOM will provide all due care during exhibition installation and exhibition and will not be liable for incidental damage to an artwork, each entrant shall indemnify ARTROOM for any loss or damage suffered to their artwork.  

•       Artworks will not be insured by ARTROOM in transit. 

•       ARTROOM is not responsible for storing the packaging of artworks for the duration of the exhibition. Packaging materials for works will not be kept by ARTROOM unless requested in writing and agreed to by ARTROOM.   

Communications

•       Entry will grant ARTROOM a non-exclusive copyright license to reproduce images of artworks for publicity. 

•       The names of all exhibition finalists and their artworks may be published online and in print.  

Artwork Collection & Return

•       All artworks that will be collected in person must be picked up from ARTROOM.  Artworks being returned by courier must be booked for collection in advance.

•       ARTROOM reserves the right to dispose of any uncollected artworks. Artworks will usually not be released by ARTROOM before the collection dates.

•       Artists whose artwork is intended to return via courier must be booked for collection and supply packaging instructions to ARTROOM in writing to submissions@artroompresents.com.au

•       ARTROOM must be notified in advance via email of any courier deliveries and pickups. Artworks will not be released without prior written consent, via email to submissions@artroompresents.com.au from the artist. 

•       Artists are responsible for all costs and insurances involved in the transport of their artwork. Artworks will not be insured by ARTROOM.
